Job Description

Position Overview

The Accounting & Operations Associate supports NuGen’s financial and internal operations by executing a variety of bookkeeping, clerical and administrative tasks. This early-career role is ideal for a motivated self-starter with keen attention to detail, strong organizational skills, and a solid foundation in accounting principles—someone who takes ownership of their work, ensures nothing falls through the cracks, and helps keep the team aligned and on task. The role is central to ensure accurate financial records and operational efficiency across the platform.

 

Key Responsibilities:

Invoicing & Collections:  Generate and distribute monthly customer invoices. Enter weekly customer checks, maintain and reconcile purchase orders and vendor statements, support accounts receivable tracking, and assist with collections efforts.

Reporting : Prepare and support the creation of monthly, quarterly, and annual financial reports. Update internal systems with financial data and ensure reporting aligns with deadlines and accuracy requirements.

Audit Support:  Provide necessary documentation and schedules to external auditors during annual audits and semi-annual reviews. Support month-end and year-end close processes as well as tax preparation efforts.

Data Entry: Assist in downloading and saving all financial statements, processing employee credit card receipts and accounts payable and entering data into the bookkeeping platform.

Internal Operations:  Ensure smooth daily functioning of internal administrative processes. This includes, but is not limited to, the following:

  • Mail: Open and distribute incoming physical and electronic mail daily.
  • Phone & Scheduling: Answer phone calls, take messages, schedule meetings and help manage CEO and executive leaders' calendars.
  • Responsible for all entity filings: Maintain accurate records and ensure timely completion of corporate filings, registrations, and compliance documents for all NuGen entities.
  • Form Preparation: Assist with and prepare internal and external form submissions, including, but not limited to, vendor W-9s and 1099 preparation.
  • Travel: Coordinate travel arrangements and accommodations for NuGen employees.
  • Research & Project Support: Complete research and support business development and operational efficiency projects, as assigned.
  • Office Management: Maintain an adequate office supply inventory and requisition additional items as needed. Ensure organization of printed and electronic filing systems.

Perform other related duties as assigned.

 

Qualifications:

  • A college degree is great, but not required if you have applicable experience.
  • 1-3 years of bookkeeping/accounting or financial administrative experience or an equivalent combination of education, training and experience.
  • Advanced Microsoft Office (Word, Excel, PowerPoint, Outlook) skills.
  • Experience with QuickBooks or similar accounting software.
  • Effective communication and interpersonal skills.
  • Key Competencies: Detail-oriented with the ability to manage multiple projects simultaneously, prioritize tasks effectively, and meet deadlines. A self-starter with excellent communication skills, capable of excelling in a fast-paced, high-energy, and rapidly growing organization.

Rate of Pay: The expected salary range for this position is $50,000–$70,000. Compensation will be commensurate with experience and qualifications and includes an excellent benefits package, including fully covered health insurance for individuals and 3% match towards retirement and 3% match towards health savings or 529 accounts.
