Position Overview
Our client is seeking a detail-oriented and proactive ER & Security Administrative Support professional. This role is essential in supporting the Emergency Response (ER) and Security functions by ensuring accurate recordkeeping, budget management, and training coordination. The ideal candidate will be organized, dependable, and capable of handling multiple administrative responsibilities in a fast-paced environment.
Responsibilities & Essential Duties:
- ER and Security recordkeeping of digital and printed material (Response Plans, SharePoint, EOC materials, drills, after actions reviews, etc.)
- Oversee fire equipment maintenance and testing activities (e.g., fire extinguishers, hoses, water systems, protection systems, quick attack trucks).
- Track training compliance for all Emergency Response Teams (Fire Team, Incident Command Team, EOC, etc.).
- Oversee scheduling and provide logistics support for the training activities of the different Emergency Response Teams.
- Support the management of the Emergency Response and Security budget for Security and ER costs via the MSA, support cost tracking.
- For Security, be the first point of contact for day-to-day requests and lead the necessary security arrangements for visitors.
- Support the Joint Health and Safety Committee (JHSC) with meeting minutes, action tracking, and materials for the meetings.
- Provide Admin support to the HSSE & SI team (ordering of meals, SharePoint management, distribution list, SMART cards, mailing of correspondence, team building events, audits, Site visits).
- Manage purchase orders, requisitions, and budgets for the HSSE & SI team.
- Reporting of Environmental and Safety Metrics
- Collaborate effectively with other administrative professionals across the organization.

Qualifications:
- High School Diploma or GED required; bachelor’s degree preferred.
- Minimum of 5 years of relevant administrative experience, preferably in a manufacturing or industrial setting.
- Must have legal authorization to work in the U.S. for any employer other than the current one.
- Comply with HSSE rules & regulations and procedures
- Report / Intervene any unsafe behavior or unsafe operating condition observed
