Job Description
We are seeking a highly organized and detail-oriented Construction Accounting & Office Operations Manager to lead the financial and administrative functions of our construction-based steel fabrication office. This role is ideal for someone with a strong background in construction accounting, job costing, and compliance, who also thrives in managing office operations, HR processes, and overall team support. The ideal candidate will play a critical role in ensuring accurate cost tracking, timely reporting, and efficient day-to-day operations in a fast paced, field-oriented environment.
Roles and Responsibilities:
Accounting & Financial Oversight
- Handle Accounts Payable and Accounts Receivable
- Manage company credit cards, track receipts, and ensure accurate job costing
- Monitor payment terms, aging reports, and follow up on outstanding invoices
- Allocate labor, material, and equipment costs to correct job codes
- Prepare budget vs. actual reports, quarterly filings, and year-end taxes
- Perform bank reconciliations
- Track and maintain company business licenses
Human Resources & Compliance
- Manage new hire process: applications, background checks, system entry, SSI verification, and orientation scheduling
- Conduct employee onboarding including time tracking setup, benefits enrollment, and safety paperwork
- Ensure driver compliance and maintain insurance records
- Track employee certifications (e.g. welding, OSHA, safety) and schedule necessary trainings and re-certifications
- Oversee Workers' Compensation claims, including return-to-work, light duty tracking, and documentation
- Maintain incident tracking, SDS sheets, and provide safety support and reporting
- Schedule annual employee reviews and document performance discrepancies and disciplinary actions
- Process terminations and ensure return of company property
Payroll & Time Management
- Manage payroll processing, taxes, and garnishments
- Proficient in prevailing wage compliance
- Oversee time tracking, job costing accuracy, and attendance monitoring
- Track PTO, sick days, safety bonus hours, overtime, and ensure labor law compliance
- Reconcile timesheets with production schedules
Operations & Time Management
- Maintain a clean, professional, and safe office environment
- Manage office systems and infrastructure
- Oversee vendor relationships (uniform, janitorial, suppliers), with a focus on supporting our upcoming new facility
- Track and maintain company vehicles and equipment inventory
- Develop and maintain SOPs for all office and operational processes
Project Administration
- Build and maintain physical and digital job file structures (contracts, inspections, certs, submittals, drawings, insurance)
- Track change orders, approvals, revisions, and related billing
- Manage lien waiver preparation and tracking
- Track project costs and generate weekly reporting on hours, materials, and billing
- Oversee small project billing and tracking system
- Support WIP tracking and reporting
- Provide strong job costing support across all functions
Employee Engagement
- Plan and coordinate employee appreciation efforts and morale-boosting events
REQUIREMENTS
- Proven experience in office management, preferably in a construction or field service environment
- Solid understanding of job costing, WIP reporting, and project administration
- Strong organizational and problem-solving skills
- High level of attention to detail with ability to prioritize multiple tasks
- Proficient in payroll systems, time tracking software, and accounting platforms
- Familiarity with HR practices, safety compliance, and certification tracking
- Excellent communication skills and ability to interface with all departments

- Experience generating weekly project and safety reports
- Previous success optimizing internal systems or creating new processes
- Hands-on experience supporting transitions to new facilities or infrastructure upgrades
